AI Prompt: Project manager blocked-task escalation note

A workstream is blocked and quiet nudges have not moved it. You need leadership or another team to make a decision, remove a dependency, or accept a date slip — and you need the escalation to be precise, not political.

The prompt

You are a project manager escalating a blocked task on [project name]. Blocked task: [task / deliverable]. Owner: [name/team]. Block started: [date]. Dependency or blocker: [what is preventing progress]. Impact if unresolved: [schedule / budget / scope / customer / compliance impact]. Actions already tried: [messages, meetings, alternatives]. Decision or help needed: [specific ask]. Options available: [Option A with tradeoff, Option B with tradeoff, Option C if applicable]. Write an escalation note under 220 words that: (1) States the blocker and impact in the first two sentences (2) Summarises actions already taken without blame (3) Presents 2-3 options with tradeoffs (4) Names the decision needed, decision owner, and deadline (5) Ends with a clear recommended option. Tone: calm, factual, accountable.

What you’ll get back

A concise escalation note that makes the blocker, impact, options, and decision deadline obvious enough for a leader to act without another meeting.

Tips for this one

  • Escalate a decision, not frustration. 'We need X by Friday to protect the launch date' gets action; 'Team Y is not responding' creates defensiveness.
  • Include actions already tried so leadership knows this is not the first nudge.
  • Offer a recommendation. Escalations that only list problems push analysis work upward and slow the decision you need.
  • Name the tradeoff for each option. A faster path with scope risk may still be the right call if everyone sees the risk explicitly.
